This return policy explains the conditions under which you may return the Beam Box and associated hardware. By placing an order, you agree to the terms outlined below.
1. Scope
This return policy applies to all hardware supplied by Beam Tracking B.V. ("Beam"), including the Beam Box (RFID scanner) and accompanying accessories. This policy applies to both monthly rental agreements and one-time hardware purchases.
2. Return Period
You have the right to return the Beam Box within 30 calendar days of receiving it. The return period begins on the day of delivery as confirmed by the carrier.
To meet the return deadline, the package must be shipped no later than the 30th day after receipt. This must be evidenced by the carrier's tracking information. The shipping date (not the date of receipt by Beam) is determinative.
3. Return Conditions
To be eligible for a return, the following conditions must be met:
- Condition of the device: The Beam Box must show no visible signs of use, damage, or wear. The device must be in resalable condition, comparable to the state in which you received it.
- Original packaging: The device should preferably be returned in its original packaging, including all supplied accessories (charging cable, documentation).
- Factory reset: The device must be fully reset to factory settings. All business data, accounts, and configurations must be removed before returning the device.
- Completeness: All components included in the original delivery must be returned (with the exception of used RFID labels, see section 4).
4. RFID Labels
The RFID labels included with the Beam Box do not need to be returned. Labels are consumable items and are treated as such, regardless of whether they have been used.
5. Costs and Refunds
5.1 First month software
Regardless of the hardware return, the license fee for the first month of Beam software is always due, as stated on the checkout page. This amount will not be refunded upon return of the hardware.
5.2 Monthly hardware payments
With monthly payments, you only pay for the months you had the hardware in your possession. Any payments made for periods after the return date will be refunded.
5.3 One-time hardware purchase
For one-time purchases, the full hardware purchase amount will be refunded, less any charges for damage or incomplete returns.
5.4 Return shipping costs
The cost of returning the hardware is borne by the customer, unless the device is defective or does not match the order.
5.5 Refund timeline
Refunds are processed within 14 business days of receipt and approval of the returned device, via the same payment method as the original order.
6. Return Process
To initiate a return, follow these steps:
- Contact us: Send an email to info@beamtracking.com with your order number and reason for return.
- Receive return instructions: We will confirm your return request and provide the return address and any instructions.
- Reset the device: Remove all business data and perform a factory reset.
- Package the device: Pack the Beam Box carefully, preferably in the original packaging.
- Ship with tracking: Send the package via a carrier with tracking capability. Keep your proof of shipment.
Beam is not liable for packages lost during return shipping. We recommend sending the package via registered or insured mail.
7. Inspection and Assessment
Upon receipt of the returned device, Beam will conduct an inspection to assess its condition. This inspection includes checking for:
- Visible damage, scratches, or signs of improper use;
- Completeness of accessories and packaging;
- Whether the device has been properly reset.
If the device does not meet the return conditions, Beam may refuse the return in whole or in part, or apply a reduction to the refund amount. You will be notified by email.
8. Exceptions
The right of return does not apply in the following cases:
- Hardware submitted after the 30-day return period;
- Hardware that has clearly been used, damaged, or is not in resalable condition;
- Hardware that has been modified, altered, or opened beyond normal use;
- Cases of theft, loss, or damage due to negligence.
