Assign tasks to team members and perform quality inspections

Tasks

Tasks in Beam help you track work that needs to be done across your organization. Whether it is a maintenance request, a follow-up action, or a custom workflow step, tasks keep your team organized and accountable.

Creating a Task

To create a new task, navigate to the Tasks page and click the add button. You can fill in the following fields:

  • Name a short, descriptive title for the task.
  • Description additional details or instructions.
  • Assigned to the user responsible for completing the task.
  • Due date the deadline for task completion.
  • Priority set the urgency level of the task.
  • Linked item or order optionally connect the task to a specific inventory item or order.

Task Statuses

Beam supports two task workflow modes that can be configured per organization:

  • Two-step workflow: Open → Done. Tasks are either open or completed.
  • Three-step workflow: Open → Pending → Done. This adds an intermediate state for tasks that are in progress or awaiting approval.

Your administrator can configure which workflow mode is used for your organization in the Settings page.

The Tasks Page

The Tasks page provides a comprehensive overview of all tasks in your organization. Key features include:

  • Filter by time period view tasks due today, this week, this month, or a custom range.
  • Filter by status show only open, pending, or completed tasks.
  • Hide or show completed tasks toggle visibility of finished tasks to keep the view clean.
  • Search quickly find tasks by name, description, or assigned user.
  • Multi-table view see tasks grouped by status, priority, or assignee in a structured layout.

Task Linking

When a task is linked to an item or order, it appears on the Task tab of that item or order detail page. This makes it easy to see all related tasks without leaving the context of the item or order you are working with.


Inspections

Inspections allow you to perform quality checks and assessments on your inventory items. They are particularly useful for industries where product quality changes over time, such as fresh produce, perishable goods, or rental equipment.

Creating an Inspection

Inspections are created from the Inspection tab on an item detail page. Only users with admin privileges can create new inspections. To create one, navigate to an item, open the Inspection tab, and click the add button.

Inspection Types

Beam supports several inspection types to cover different use cases:

  • Quality general quality assessment of an item's condition.
  • Ripening track the ripening stage of perishable goods such as fruit and vegetables.
  • Arrival inspect items upon receipt to verify condition and conformance.
  • Stadium assess items in the context of venue or event management.

Adding Photos

You can attach photos to any inspection as visual evidence. Photos can be taken directly using your device's camera or uploaded from your photo library. All images are automatically compressed to save storage space while maintaining sufficient quality for review. You can attach multiple photos to a single inspection.

Follow-Up Dates

When creating or completing an inspection, you can set a follow-up date. This schedules a reminder for a future inspection, ensuring that items requiring ongoing monitoring are not overlooked.

Viewing Inspection History

All past inspections for an item are displayed in chronological order on the Inspection tab. Each entry shows the inspection type, date, results, and any attached photos, giving you a complete audit trail of the item's quality history.
