Order Documents

Generating delivery notes, invoices, pallet lists, and order lists

Beam can generate PDF documents directly from an order. These documents use your organization's logo and configured templates, and can be printed, downloaded, or shared digitally.


Available document types

Not all document types may be available for every order type. Delivery notes and invoices apply primarily to outbound and rental orders. Pallet lists are only available when palletization is enabled for your organization.

Generating a document

To generate a document from an order:

  1. Open the order.
  2. Click the document or print button (the printer icon or the document menu, depending on your layout).
  3. Select the document type you want to generate.
  4. The PDF is generated and opens in a preview.
  5. From the preview you can print the document directly, download it as a PDF file, or share it via email or another app.

What is included in each document

Delivery note

  • Your organization name, logo, and address.
  • Order name, reference number, and date.
  • Customer name and delivery address.
  • Table of items: item name, quantity ordered, quantity delivered.
  • Notes or special instructions added to the order.
  • Signature block for delivery confirmation (if configured).

Invoice

  • Your organization name, logo, and address.
  • Invoice number and date.
  • Customer name and billing address.
  • Line items with unit price, quantity, and line total.
  • Subtotal, tax, and grand total.
  • Payment terms and notes (if configured).

Pallet list

  • Order reference and date.
  • Each pallet listed separately with its pallet number.
  • Items and quantities assigned to each pallet.
  • Total item count per pallet and for the whole order.

Order list

  • Order name, type, and status.
  • All order lines with item names, required quantities, and picked quantities.
  • Written-off quantities where applicable.
  • Overall order progress summary.

Printing and sharing

Documents can be handled in multiple ways after generation:

  • Print. Send directly to a connected printer from the PDF preview.
  • Download. Save the PDF file to your device.
  • Share. Send via email, WhatsApp, or any sharing method supported by your device. This is useful for sending a delivery confirmation to a customer on the spot.

Customizing document templates

Document templates control the layout, logo, and content of generated PDFs. Templates are configured per organization in the Settings section.

  • Upload your organization logo to have it appear on all documents.
  • Set your organization address and contact details.
  • Configure payment terms and footer text for invoices.
  • Enable or disable the signature block on delivery notes.

Template configuration requires administrator permissions. Contact your Beam administrator if you need to update your document templates.
